Phase 1 Policy — This policy governs the current pilot version of Home Distributor and may be updated as the service expands. Material changes will require renewed acceptance where appropriate.

Information collected

Home Distributor collects the account identity, contact details, the declared address, storage description, availability, vehicle details when delivery is offered, insurance information, uploaded photos and proof files, service-area answers, assignment history, and audit history.

Purpose of collection

The information is used to review an application, verify a location, operate an accepted task, keep an audit history, and send service emails about the application or assignment. It is not used to publish a home address.

Private and public fields

The public directory is limited to a display name, city, province, country, a broad service area, offered service types, categories, verification and activity flags, and an approved radius.

The public directory does not disclose the street address, unit, exact coordinates, phone number, email address, insurance policy number, insurance files, vehicle plate, private photos, auth UID, or admin notes.

Documents, vehicle details, and verification

Storage photos and insurance files stay in private storage. Vehicle notes stay on the private application record. Service-area verification in Phase 1 is manual when no approved geocoding service is configured. Coordinates are not invented.

Assignments, audit history, and email

Assignment records store the task type, the fixed compensation, the status, and timestamps. Audit events store who changed a status and when. Email notifications use the Home Distributor name, a reference, and a link to a signed-in page. They omit the full home address, insurance number, and private images.

Retention, security, and correction

Application, private, assignment, and audit records are kept while the location is in use and for a reasonable period afterward so disputes, accounting, and safety reviews can be completed. Private files follow the same retention period unless a shorter legal duty applies.

Access is limited to the account owner and authorized 51K administrators through server routes. File type and size checks reduce risk. They do not guarantee that a file is free of malware, and this policy does not promise that a breach can never occur.

An applicant can review and correct application details while the application is still editable, and can ask info@51group.ca to correct other personal information.
